Stock Manager Collections
ProVersion users have the option of storing any number of freely nameable collections of stocks/products for specific groups on a long-term basis. These collections are also synchronized so that they can be used by all group members.
A collection always consists of products and inventories. When saving a collection (whether creating a new one or overwriting an existing one), all products and inventories selected at that time are always noted in the collection. The selection is the same as for bulk editing , with the difference that collections do not disappear when the app is closed, unlike selections. A stock item or product can also be included in several collections.
A collection does not contain copies of the objects stored in it, but only references to the objects that are used for selection when loading a collection.
This extension is subject to a fee. It can be purchased for one group at a time. If one member of a group purchases the extension, it is automatically available to all group members. It can only be purchased and used by ProVersion users.
If you want to have collections in multiple groups, the extension must be purchased separately for each group. Each group can contain different collections.
The collections can be changed at any time.
To use collections, you must enable them in the settings in the settings.
When the selection mechanism is activated, the quick search feature includes a new selection option
'Collection' with the sub-items
- 'Inventories from collection' and
- 'Products from collection'
When you select one of the two sub-items, a list of the names of all existing collections is first displayed. When you select one of the collections from the list, the entire collection is transferred to the selection, and then, depending on the desired type, all stocks or products available in the collection are displayed for viewing/editing.
Since this is a normal inventory or product list, it can also be exported directly as a CSV file or printed as HTML via the menu, for example.
In the inventory/product lists, when the selection mechanism is activated, the menu selection 'Selection' is supplemented by the sub-item 'Collection'. This has the sub-items
- Load selection from collection
- Add selection to collection
- Reduce selection to collection
- Save selection as collection
When loading, expanding, and reducing, the list of names of all existing collections is presented, and the content of the selected collection is adopted as the selection, or the selection is expanded or reduced (the current list of stocks/products remains unchanged).
When saving, you are asked to enter a name under which the complete current selection of stocks and products is saved as a collection (the name cannot contain an underscore). If you enter a name that already exists as a collection, this collection is overwritten; otherwise, a new collection is created. If neither stocks nor products are currently selected, the collection is deleted. The last collection name used when loading/expanding is suggested as a default when saving, so that you can easily change a collection and save it again.
In the detailed search , there is an additional menu item 'Collection' with the sub-items
- Load selection from collection
- Add selection to collection
- Reduce selection to collection
- Save selection as collection
The items work as in the stock/product lists. However, when 'loading' and 'expanding', the selection mechanism is automatically activated and the 'selected' checkbox is checked.
It is not a problem if an item (stock/product) contained in a collection to be loaded no longer exists when loading: it is simply ignored because no matching item can be selected.
